All,

( I lost the papers from the meeting, I just base on my memory for writing this minutes, please kindly review and let me know if I miss anything)

QUESTION - we discussed that we will follow the order/no. of the registration, however, since some mums registered for other families as well, e.g. nn (7A2B), we will have 2 families using the same registration no... we have several of this case which we forgot to consider at the committee meeting... so, how to address this? Please kindly comment.

1. BF area - Cafe Musical will provide a room for the BF mums to BF. It is at the end of the stage.
2. Dessert - we will ask Cafe Musical to swap out the "Jelly Candy" and swap in "Fruit Cake". Originally, we wanted to exchange for something else beside the fruit cake as we will have our own home-made birthday cake, but since we have only 4 mothers signed up for making 4 cakes (we estimated we might need 8 cakes for 120 ppl), we discussed that maybe we should keep the Fruit Cake.
3. Table/Chair Arrangement - Cafe Musical allows us to decide how to put the tables/chairs. 731mon suggested that we could arrange 5 long benches as we will have 5 camera-men, and each camera-man could be in charge of 1 bench. nn will work with 731mon on how to arrange the tables/chairs.
4. Seating Plan - we discussed whether we should have free-seating or assigned seat. As it will be very hard to control "single seat" if we go for free-seating, so, we decided to go for "assigned seat".
5. MC - angelhair and nn will be the MC
6. Hand/footprint statue - we will all need to bring ourr own pack for making the prints. REMINDER -- please remember to bring some wet wipes for cleaning the hands/feet afterwards
7. Background music - angelhair and nn will be in charge of music/CDs
8. Gifts - we have now 10 companies agreed to sponor us. We are still on-going for collecting the gifts. We have 2 more companies have high chance to provide gifts. For others (about 10-20 companies), some rejected and some have no replies yet. We will post the list of the company names after we have collected all the gifts from the companies.
9. Packing of gifts - as we have 10+ gifts for each baby, we decided to pre-pack the gifts into 1 package such that it is easier for distribution at the reception. For those mums who helped to collect the gifts beforehand, we will need to arrive Cafe Musical at 2pm for packing the gifts. We will source some good plastic/paper bags (budget around HK$1-1.5 per bag) for storing all the gifts. We will then staple the photo coupons, drink coupons and name tags to the bag. WANTED -- We need some mums to volunteer for (i) packing the gifts and staple the coupons to the bag from 2-2:30pm, (ii) bring some staplers to the cafe at 2pm
10. Plastic mats - Hackenma will bring 40 mats from her home. She will check with her school whether she can bring more. We estimated we might need 70 mats. If we cannot find enough, we might see whether any mum could buy the mats, let us use at the party, and bring home after the party
11. Cleaning stuff - we will buy some clothes and detergents for cleaning the mat. WANTED -- we need some mums to volunteer to help with this task, mums need to arrive at 2:00pm.
12. Photo coupons and camera-men arrangement - 731mon will prepare this. We will have 5 benches, each bench will be assigned 1 color. People sitting on the bench will have their name-tag with the color sticker to indicate which bench they are sitting. The camera-men will have a special name tag to indicate which color/bench he will be responsible for.
13. NameTag - we decide to print (i) registration no., (ii) BK login name, (iii) real name of the adult/children, (iv) bb's name on the name tag. We will use White color sticker label, use the printer to print the words on it. We will then stick a small "color" circle sticker on the name tag for indicating the bench and camera-men assignement.
14. Banner - we decided to make the banner as a generic one, something like " BB ____ birthday party", we will leave the blank, and for each birthday party, we could re-use the same banner, in this way, we could save more money in future birthday parties. AJ will help to ask a few companies to help to provide quotation for a banner about 3x8 feet. We will then stick "1/2 yr" in the blank space.
15. Birthday cake - AJ will help to coordinate the other 3 mums for making the birthday cakes. She will help to see how to write the toppings, e.g. find some choco plate with "1/2 yr" or "BB" pre-printed. She will buy candies and lighter as well.
16. "Most xxx" competition - we will have (i) "Most Twin", (ii) "Most look like father/mother", and (iii) "Most 打扮突出". Each baby can only participate at one of the three parts. Each person will be given the voting papers (with the nametag/gift pack), and HA's sister will be our "Happy Lady" to hold a voting box and walk around to collect the voting papers from the benches.

I have called Club Vendome, they will send me the forms and gifts this week. People need to fill in the form before they could get the gift, so, we will NOT pack the Club Vendome gift into our gift bag, instead, we will put the forms/gifts at the reception desk, all mums when you arrive the reception and sign in, please fill in the form (if you are interested) and return the form to the reception for getting the gifts. If we have some mums decide not to fill in the form, I will need to collect all the un-used empty forms and un-used gifts and send it back to Club Vendome afterwards.........................

Heehee... just want to 818, why you need 40 mats at home? You use the mats to cover every place??????????????????????

I think we could have $100-150 for budget per cake. Do you need extra for the toppings/choco plate? I think you mums will know the exact amount of money spent on Feb 26 (sat), i.e. one day before the party. I will call you mums on Feb 26 afternoon, please tell me the exact amount you spent. Then, I will work out the financials on Feb 26 night, and we will then know how much to refund to each mum. Is this OK? Any ideas are welcome!!!

for the birthday cake, I think I can do a good cheesecake ... as last week I try once la...

not expensive ga... must below budget!!!

see whether cheesecake with blueberries on top is okay or not! My hear-shaped baking mould is abt 18 cm (wide) and I think only enough for 10-15 people...

shall we bake more cakes? or just for fun and photo-taking only :mrgreen:

I can help pack the gifts and will bring along the stapler (1 to 2) and staples accordingly.

Once I get more info, I will call you to discuss, thanks!!! Is it you mention that you could help to check out the choices for plastic bags? I went to CausewayBay store to take a photo of the plastic bags, but I dunno how to load the photo from my phone to the computer... ?-( ?-(

There is a sponsored company which could deliver the gifts to an address we provide. Since most of the committee members have many things to carry (cakes, gifts, etc.), we now need someone who could (1) receive the gifts from this company, (2) bring the gifts to Cafe Musical at 2pm for packing, (3) help to pack the things with other mums from 2-2:30pm.

(6) Cottons - nn already picked up, samples of dry and wet cottons, one set for each bb

sorry to bother you... did we say at the committee meeting that you will help to check the banner price? I just found out that a "door" size maybe too large for us... how about 1.5 feet x 6 feet...?? it will be more handy and light in weight.. and cheaper I hope.... Please let me know, thanks!
